COGNEXA APP

Privacy policy

Effective date: 24 September 2026

This policy explains how Cognexa, South Africa, handles personal information when you use the Cognexa app and its connected website to explore services, calculate estimates, request a consultation or send a project enquiry.

1. Who is responsible

Cognexa is responsible for the personal information it receives through its enquiries and client communications. For privacy questions, access, correction or deletion requests, contact Cognexa on WhatsApp at +27 67 801 4707. Start your message with “Privacy request”.

2. Information you provide

Project enquiries can include your name, company, email address, phone number, project name, goals, requirements, budget range, timeline, reference links and additional details. Consultation requests include your name, WhatsApp number, discussion topic, project stage and preferred day and time. We also receive the messages and information you choose to send during follow-up communications.

Required fields are identified on each form. Without the necessary contact and enquiry details, we may be unable to respond or arrange a consultation. Please do not include passwords, payment-card details, identity documents or sensitive personal information in enquiry forms.

3. How the app handles your inputs

The estimate calculator works in your browser or app view. Its selections are included in a WhatsApp message only when you choose to request a quote. Project and consultation forms prepare a message and open WhatsApp; the details are passed to WhatsApp in the link when you continue. Cognexa receives that message after you send it in WhatsApp.

The current enquiry pages do not submit your form entries to a separate Cognexa database. They do not use application cookies or browser storage to save your entries. Your browser or device may retain browsing history, autofill or cached content independently.

4. Technical information and external services

Hosting and delivery services may process technical information such as IP addresses, requested pages, device or browser information and request times to deliver content and maintain security. The website uses Cloudflare-backed hosting and loads fonts from Google Fonts, which receives the network information needed to serve those fonts.

WhatsApp processes information under its own terms and privacy policy when you open a WhatsApp link or communicate through that service. See the WhatsApp privacy policy, Cloudflare privacy policy and Google privacy policy. If the hosting platform asks you to sign in, that platform handles the sign-in information under its own privacy terms.

The current website does not include advertising trackers or an analytics script. Listing a technology provider among Cognexa’s services does not mean your enquiry is sent to that provider.

5. Why information is used

We use enquiry information to respond, discuss requirements, prepare estimates and proposals, arrange consultations, provide agreed services and manage related communications. Information may also be needed to protect our services, resolve disputes and meet applicable legal obligations. Depending on the circumstances, processing supports a request you make before entering a contract, performance of an agreement, legitimate business interests or a legal obligation. Where consent is required, we will request it separately.

6. Sharing and international processing

Information is handled by Cognexa and the communication or hosting providers needed to deliver these functions. Where a project requires another service provider, its role and relevant data handling should be addressed as part of that project’s agreed arrangements. We may disclose information where legally required or necessary to establish or defend legal rights.

Third-party providers may process information outside South Africa. Cross-border transfers must be handled in accordance with applicable data-protection requirements, including POPIA where it applies.

7. Retention and security

Enquiry and communication records are retained for as long as needed to handle the enquiry, provide agreed services, resolve disputes or meet applicable recordkeeping obligations. The appropriate period depends on the record and purpose. You can request deletion of information no longer needed; we will explain if an obligation requires continued retention.

We use reasonable safeguards appropriate to the information and services involved. No online transmission or storage method is completely secure. WhatsApp, hosting providers and your own device may hold separate records governed by their respective settings and policies.

8. Your choices and rights

Subject to applicable law, you may request access to your personal information, correction of inaccurate information, deletion where permitted, or object to processing. You may withdraw consent for processing that relies on consent; this does not affect earlier lawful processing. We may need to verify your identity before acting on a request.

Send requests to +27 67 801 4707, describing the information or communication concerned. You may also raise a complaint with South Africa’s Information Regulator.

9. Children and app permissions

Cognexa’s enquiry services are intended for people seeking business and technology services, rather than services directed at children. A parent or guardian who believes a child has supplied personal information can contact us to request its review and deletion where appropriate.

The website functions described here do not require access to your contacts, camera, microphone or precise location. Permissions used by WhatsApp or your browser are controlled by those applications and your device settings.

10. Changes to this policy

We will update this page when the app’s functions or data practices change and revise the effective date above. Material changes will be communicated where required. This policy covers Cognexa’s own enquiry app and website; separately developed client applications may have their own privacy policies.
